Microsoft 365 vs. Google Workspace for a small business: which should you pick?
Both are good. The right pick depends on how your team works today: in desktop Word and Excel files, or mostly in a web browser. Switching later is possible but takes real work, so it's worth choosing deliberately.
The short answer
- Pick Microsoft 365 if your team lives in Excel, Word, and Outlook on the desktop, you share files with clients and partners who use Office, or you use software that plugs into Microsoft (common in accounting, law, and construction).
- Pick Google Workspace if your team works mostly in the browser, likes Gmail, collaborates in shared docs at the same time, and doesn't depend on advanced Excel.
- Either way, put your business email on your own domain (you@yourcompany.com), not a free Gmail or Outlook.com address.
How they compare for a small office
| Microsoft 365 | Google Workspace | |
|---|---|---|
| Outlook, works well with shared mailboxes and calendars | Gmail, simple and fast, great search | |
| Documents | Full desktop Word, Excel, PowerPoint on most plans | Docs, Sheets, Slides in the browser; open Office files too |
| Files | OneDrive and SharePoint | Google Drive and shared drives |
| Video calls | Teams | Meet |
| Security | Multi-factor sign-in on all plans; device management and advanced protection on higher plans | Multi-factor sign-in on all plans; more admin and security controls on higher plans |
| Best for | Excel-heavy work, Office file exchange, Microsoft-based software | Browser-first teams, real-time collaboration, simplicity |
Pricing changes from time to time, and both companies charge per user per month with cheaper and more complete tiers. Check Microsoft's and Google's current plan pages before deciding, and look at what security features each tier includes, not just storage.
Questions that usually decide it
- Do your people open big Excel files with macros or complex formulas? Microsoft 365.
- Do clients send you Word documents with tracked changes all day? Microsoft 365 avoids formatting headaches.
- Does your industry software say "integrates with Outlook" or "requires Microsoft 365"? That settles it.
- Is your team spread across phones, Chromebooks, and home laptops? Google Workspace is often simpler.
- Do you mostly need email, calendar, and shared folders? Either works; pick the one your team already knows.
Things to set up on day one, whichever you choose
- Multi-factor sign-in for everyone. This stops most account takeovers, including the wire-fraud scams that start with a hacked inbox.
- Shared mailboxes for info@ and billing@ instead of one shared password.
- Shared folders or shared drives owned by the company, so files don't leave with an employee.
- Your domain's email records (SPF, DKIM, DMARC) so your messages land in inboxes, not spam, and nobody can easily spoof you.
- A backup of email and files. Microsoft and Google keep their services running, but deleted or overwritten data isn't always recoverable without a separate backup.
Switching from one to the other
It can be done without losing email or files, but plan it: move mailboxes, calendars, contacts, and files; update your domain's records; and set up every phone and computer again. For a small office this is usually a weekend project with a little cleanup the following week.
Quick answers
Can I keep using free Gmail for my business? You can, but your own domain looks more trustworthy, keeps the account in the company's name, and gives you admin control when someone leaves.
Which is more secure? Both are secure when set up properly. Most breaches come from missing multi-factor sign-in and weak settings, not the platform.
Do I need an IT company to set this up? Not for one person. For a team, getting the domain records, shared mailboxes, and security right the first time saves a lot of trouble.
